What we collect
When you submit the enquiry form we collect the details you enter: your name, company name, email address, phone number, emirate, the service you are interested in, your timeframe and the description of your requirement. We do not collect payment card details through this website, and we do not use advertising or tracking cookies.
Why we use it
We use your information to respond to your enquiry, prepare a quotation or proposal, deliver the services you engage us for, keep the records that professional and anti-money-laundering obligations require, and contact you about your engagement. We do not sell your data, and we do not use it for unrelated marketing without your consent.
How the form works
Our enquiry form does not store your details on this website. When you submit it, the information is formatted and passed to our business WhatsApp number so that a member of our team can reply directly. WhatsApp is operated by Meta, and messages sent through it are subject to WhatsApp's own privacy terms. If you prefer not to use WhatsApp, contact us by phone or email instead.
Who we share it with
Access to your information is limited to the team members working on your enquiry or engagement. We may share information with your auditor, your bank, a free-zone authority or the Federal Tax Authority where you have instructed us to, or where the law requires it. Where we use third-party software for accounting, payroll or document storage, data is processed under that provider's agreement and our confidentiality undertaking to you.
How long we keep it
Enquiry details that do not become an engagement are deleted within 24 months. Records relating to an engagement are kept for the period required by UAE tax, commercial and anti-money-laundering legislation, and for as long as needed to defend a legal claim.
Your rights
You may ask us for a copy of the personal data we hold about you, ask us to correct anything inaccurate, or ask us to delete information we are not legally required to keep. Write to info@bookandfile.com and we will respond within 30 days. If you are not satisfied with our response you may raise the matter with the relevant UAE authority.
Security
We use access controls, restricted sharing channels and documented confidentiality undertakings. No transmission over the internet is completely secure, so please avoid sending identity documents or bank credentials by ordinary email unless we have agreed a secure channel with you.
Changes to this policy
If we change how we handle personal data we will update this page and change the date above. Material changes affecting existing clients will also be communicated to them directly.
